Shipping and Delivery Policy
Exca Machinery supplies heavy equipment directly to your job site or facility. Shipping heavy machinery requires coordination, specialized carriers, and adherence to strict freight protocols. We cover the logistics so you can focus on the job.
Free LTL Freight Coverage
We provide free LTL (Less Than Truckload) freight shipping to all locations within the lower 48 states. At this time, we do not ship internationally or to Alaska, Hawaii, or US territories.
To ensure a smooth unloading process, free lift-gate service is included on our deliveries. Note: Buyers must verify the operating weight and dimensions of their specific mini excavator model. Extremely heavy models or oversized attachments may exceed standard carrier lift-gate capacities and will require you to provide a loading dock, forklift, or crane on-site for safe unloading.
Processing and Transit Times
Every piece of machinery undergoes a strict in-house technical inspection at our Fort Collins warehouse, covering engine components and fluids, before it is crated and cleared for dispatch.
- Dispatch and Transit: Exact dispatch dates and carrier transit estimates vary based on your location and carrier availability. You will receive tracking and carrier information via email as soon as your machine is loaded.
- Delivery Appointments: Our freight carriers will typically contact you directly to schedule a delivery window. Someone authorized to sign for the equipment must be present to receive and unload the shipment.
Order Cancellations & Dispatch
Because heavy freight involves significant cost and coordination, cancellations are highly time-sensitive:
- If you cancel your order before the equipment is loaded onto the freight truck, you will receive a full refund.
- If you attempt to cancel an order after it has been loaded or dispatched, it is classified as a standard return. You will be responsible for all round-trip freight costs and applicable restocking fees, as outlined in our Return and Refund Policy.
Receiving Your Equipment
You are fully responsible for inspecting your machinery the moment it arrives, before you sign the carrier's delivery receipt. Once you sign the document free and clear, you are acknowledging that the machine arrived in good condition, which severely limits our ability to file a freight damage claim on your behalf.
Freight Damage Protocols
- Minor Damage: If you notice cosmetic damage (e.g., scuffs, scratched paint, torn packaging), document it specifically on the delivery paperwork before signing. Take clear photos of the damage and email them to our support team immediately.
- Severe Structural Damage: If the equipment arrives with major, structural damage, do not sign for it and refuse the delivery. Take photographs of the damage and contact us right away so we can arrange a replacement.
- Refusing an Undamaged Shipment: If you refuse delivery of an undamaged machine, you will be liable for all round-trip freight charges.
Local Pickup Restrictions
All Exca Machinery inventory is stored, inspected, and dispatched from our fulfillment warehouse at 2649 E Mulberry St, Fort Collins, CO 80524. For safety, liability, and logistical reasons, we do not allow customer visits, on-site inspections, or local pickups. All equipment must be shipped via our approved LTL freight carriers.
